2022 FLEXIBLE CANCELLATION POLICY

We are committed to operating the 2022 camp season for you and your family. We successfully operated camps in 2021 with no issue; however, during this time of uncertainty, we would like to provide you some comfort and flexibility when enrolling in camp for 2022.
If you enroll in camp and your plans change, or you have concerns about your child attending camp this summer, you can cancel and receive a refund or credit according to our policy. Our policy encourages early decisions so as not to affect other customers or our ability to efficiently deliver our programs, and is based on the fact that supplies are purchased for your child in March. Because we cover Active’s registration fees for you, any cancellations will incur a $35 cancellation fee (per camp) to cover administrative costs. There are no exceptions.
CAMP TRANSFER:
If your child is not able to attend their scheduled camp week(s), we recommend trying to transfer their registration(s) to a different week or location. The new camp week(s) must be within the same summer season, and must have availability. Camp transfers on April 1 and after will incur a $10 transfer fee per registration, because supplies have already been purchased. Camp transfers requested prior to April 1 are free. The deadline for all transfer requests is 5pm Friday before the camp’s start date.
Click HERE to check availability. Once you have decided on your new selection(s), email us at hello@clubscikidzdallas.com with the subject line “Transfer Request.” Be sure to include your camper’s full name and complete details about which camp(s) to transfer.
Example: “Please transfer John Smith’s camp “Master Minecraft Coder” the week of June 13 at Willow Bend Church to camp “Great Masters” the week of June 27 at Walnut Hill UMC.”
CAMP CANCELLATION:
If you are not able to make a transfer work with your schedule (see above), your options are to cancel for a partial refund or cancel for a partial account credit. As mentioned above, the cancellation fee of $35.00 PER CAMP REGISTRATION applies to every cancellation and is not refundable at any time. If you opt for an account credit instead of a refund, you get first access to registration for the following summer, before the general public. Account credits are valid for 1 year, can be used for any Club SciKidz Dallas camps; and can be used for any member of your family.

It is camp policy that no refunds will be made in connection with late arrivals, early withdrawals, or camp dismissals due to misconduct. Missed days of camp are not refunded or transferred (e.g. missed Friday and want to come back next week for a day. However, we will do our best to provide you with any materials missed, such as robots, when applicable).
All cancellation requests must be submitted to hello@clubscikidzdallas.com by 5pm the Friday night before your child’s week of camp begins. Be sure to specify if you want the refund or the account credit. You will receive an automated email from Active once any changes have been processed. Please verify that all camp change details are reflected correctly.
Example: “Please cancel John Smith’s camp “Master Minecraft Coder” the week of June 13 at Willow Bend Church as he is unable to attend. After the cancellation fee is deducted please credit the balance to our Active account.”
COVID Related Cancellation Questions:
What happens if my child tests positive or has to quarantine due to potential exposure right before their camp week is scheduled?
Please contact us immediately and we will work with you on a case-by-case basis, because these situations vary. We will do our best to transfer your child to another week of camp later in the summer, or we will issue an account credit for summer 2023.
What if a camper tests positive at camp?
If a camper tests positive while attending camp, they will not be permitted to attend camp again until cleared by a doctor. All other campers in that specific camp (or “class”) will be notified and be required to follow appropriate CDC quarantine guidelines. Transfers, account credits, and refunds for remaining camp days will be handled on a case-by-case basis if this situation arises.
