What is your cancellation policy?
2021 FLEXIBLE CANCELLATION POLICY
Please note that all camp transfer/cancellation requests must be submitted in writing to hello@clubscikidzdallas.com
We are committed to operating the 2021 camp season for you and your family. However, during this time of uncertainty, we would like to provide you some comfort and flexibility when enrolling in camp for 2021.
If you enroll in camp and your plans change, or you have concerns about your child attending camp this summer, you can cancel and receive a refund or credit according to our policy. Our policy encourages early decisions so as not to affect other customers or our ability to efficiently deliver our programs, and is based on the fact that supplies are purchased for your child in March. Because we cover Active’s registration fees for you, all cancellations for a refund will incur a $35 cancellation fee (per camp) to cover administrative costs.
**BEFORE YOU CANCEL**
You may transfer to a different camp (must be within the same summer that you are registered for and have available spots). All transfer requests must be submitted by 11:59pm the Friday night before your child’s week of camp begins.
Please Note: All transfers requested on April 1 and after will incur a $10 transfer fee per registration. We are waiving this fee prior to 4/1/21 due to the late openings of some camp locations.
You can also rollover all funds into a credit on your Club SciKidz Dallas account in Active (these funds are valid for 1 year, can be used for any programs; and can be used for any member of your family).
**IF YOU STILL MUST CANCEL**
Please note that a cancellation fee of $35.00 PER CAMP REGISTRATION applies and is not refundable or transferable at any time. All cancellation requests must be submitted to hello@clubscikidzdallas.com by 11:59pm the Friday night before your child’s week of camp begins. Please allow 2 weeks for processing.
If you cancel:
- Before APRIL 1st: then you will receive all money paid EXCEPT for the $35.00 cancellation fee per registration;
- On APRIL 1st through MAY 31st: then you will receive a 75% refund EXCEPT for the $35.00 cancellation fee per registration; &
- On June 1st or later: NO REFUNDS are given. You may transfer to a different week of summer camp for a $10 fee per camp registration, or rollover 100% funds to a credit on your Club SciKidz Dallas Active account. These funds are valid for 1 year, can be used for any programs; and can be used for any member of your family.
It is camp policy that no refunds will be made in connection with late arrivals, early withdrawals, or camp dismissals due to misconduct. Missed days of camp are not refunded or transferred (e.g. missed Friday and want to come back next week for a day. However, we will do our best to provide you with any materials missed, such as robots, when applicable).
COVID Related Cancellation Questions:
What happens if my child tests positive or has to quarantine due to potential exposure right before their camp week is scheduled?
Please contact us immediately and we will work with you on a case-by-case basis, because these type situations can vary. We will do our best to transfer your child to another week of camp later in the summer, or we will issue a 100% account credit for summer 2022.
What if a camper tests positive at camp?
If a camper tests positive while attending camp, they will not be permitted to attend camp again until cleared by a doctor. All other campers in that specific camp (or “class”) will be notified and be required to follow appropriate CDC quarantine guidelines. Transfers, account credits, and refunds for remaining camp days will be handled on a case-by-case basis if this situation arises.
What if a camp facility decides to close at the last minute and that camp location cannot operate?
If this situation occurs, we can offer free transfers to other locations, 100% account credit for the following summer, or partial refunds. We do not anticipate this occurring and are doing our very best to remain open!
Are there any scholarships available?
Every year Club SciKidz Dallas makes available a number of scholarships for our camps with our two different scholarship programs: the Shelby Jean Scholarship and the MJ Graves Scholarship. One scholarship application per family, please!
The Shelby Jean Scholarships are awarded to families that need financial assistance providing the camp experience for their children. Please click HERE for the application.
The MJ Graves Scholarship is an interest-based scholarship awarded to a camper interested in attending a video game/coding themed camp. Please click HERE for the application.
All applications are due by March 1 and the recipients will be notified via email by April 1.
What are the age groups for your camps?
Our current camp offerings are for rising grades PK4-7th. This means you will select their camp age group based on the grade your child is entering next fall. Please note that children entering PK3 in the fall are not eligible to attend, as our PreK & Kindergarten camps are designed for 4 and 5 year olds (must be 4 before their week of summer camp, and must be completely potty trained).
Club SciKidz carefully considers the grade range for each course as we receive feedback from our instructors, parents, and campers. Our policy is to allow you to take a course for the rising grade level your child will reach when they start the following school year.
Example: If you see a camp for grades 1-3 and your child is currently in second grade and will be a third grader in the fall, you can register your child for that camp.
Can you make an exception to your age requirements?
Since we have taken into account many considerations in matching our age groups and camp themes, it is generally best for the child to adhere to those requirements. Please remember that an age group contains not only a certain intellectual and skill set, but also a certain level of social maturity. These requirements allow Club SciKidz to meet the needs of each camper. For example, a rising 3rd grader may be very advanced at coding; but may struggle socially/emotionally if placed in a 4th-7th grade level coding camp.
Please be aware of our refund policy. Transferring after the week of camp has started, to a different camp due to age appropriateness or skill level, must take place within that same week of camp and is contingent on availability in the newly desired camp. We will do our best to accommodate these situations but we may have limited options when most/all camps are sold out. There is also a $10 transfer fee for all camp transfers.
What are the hours of the camp?
The camp hours are from 9:00am to 4:00pm. You may drop off your child no earlier than 9:00am and pickup no later than 4:00pm unless you have paid for the Pre or Post camp services.
Half-Day campers are to be picked up at 1:00pm as there is no Post camp services available for them,
Do you provide Pre and Post camp services?
We have extended day services at all of our locations. The cost is $25.00 per week for Pre Camp, which starts at 8:00 am. Post Camp services are from 4:00pm – 5:30 pm (with the exception of our TCA location which ends at 5pm) and cost $35.00 dollars per week. Campers that are picked up later than 5:30 pm will incur additional charges at the rate of $1.00 per minute. Please do not drop your child off before 8am, we are not staffed to care for campers earlier than 8am.
In a pinch, you can pay the daily rate (divide by 5) that morning if you just need services for that day. All parents should make sure they record the Director’s phone extension # in case they need to communicate with the camp site.
