What is your cancellation policy?
2023 FLEXIBLE CANCELLATION POLICY
Please note that all camp transfer/cancellation requests must be submitted in writing to hello@cskdallas.com
If you enroll in camp and your plans change, you can cancel and receive a refund or credit according to our policy. Our policy encourages early decisions so as not to affect other customers or our ability to efficiently deliver our programs. It is also based on the fact that supplies are purchased for your child in early Spring. Because we cover Active’s registration fees for you, each registration cancellation will incur a $35 cancellation fee (per camp) to cover administrative costs. There are no exceptions.
CAMP TRANSFER:
If your child is not able to attend their scheduled camp week(s), we recommend trying to transfer their registration(s) to a different week or location. The new camp week(s) must be within the same summer season, and must have availability. All transfer requests must be submitted least 1 week before the camp’s start date. We cannot process a transfer within 1 week of the start date or after a camp week has begun.
Click HERE to check availability. Once you have determined your new selection(s), email us at hello@clubscikidzdallas.com with the subject line “Transfer Request.” Be sure to include your camper’s full name and complete details about which camp registration(s) to transfer.
Example: “Please transfer John Smith’s camp “Master Minecraft Coder” the week of June 13 at Willow Bend Church to camp “Great Masters” the week of June 27 at Walnut Hill UMC.”
CAMP CANCELLATION:
If you are not able to make a transfer work with your schedule (see above), you can cancel for a partial refund according to the timetable below. As described above, the cancellation fee of $35 PER CAMP REGISTRATION applies to every cancellation and is not refundable at any time.
CANCELLATION DEADLINES | Cancel Between 12/15-3/31 | Cancel Between 4/1-5/31 | Cancel June 1 or Later |
---|---|---|---|
Fee Applied | $35 per registration | $35 per registration | |
Remaining Balance | Refunded to original form of payment | 75% is refunded to original form of payment | NO REFUNDS GIVEN JUNE 1 OR LATER. |
ILLNESS/INJURY: if your child has an unexpected illness (ex: flu/strep/Covid etc) or injury (ex: broken leg) that prevents them from attending the entire week of camp, please contact us immediately. After a Dr.’s note is provided, 75% of the camp tuition (less the $35 fee) will be credited to your account for the following summer.
Account credits are valid for 1 year, can be used for any Club SciKidz Dallas camps; and can be used for any member of your family. You will receive first access to register for the upcoming season if you have an account credit on file.
It is camp policy that no refunds will be made in connection with late arrivals, early withdrawals, a camper not liking their camp’s theme, or camp dismissals due to misconduct. Missed days of camp are not refunded or transferred (e.g. missed Friday and want to come back next week for a day. However, we will do our best to provide you with any materials missed, such as robots, when applicable).
All transfer/cancellation requests must be submitted to hello@clubscikidzdallas.com.
Example: “Please cancel John Smith’s camp “Master Minecraft Coder” the week of June 13 at Willow Bend Church as he is unable to attend.”
You will receive an automated email from Active once any changes have been processed. Please verify that all camp change details are reflected correctly. If you have any questions at all, please feel free to ask!
Are there any scholarships available?
Every year Club SciKidz Dallas makes available a number of scholarships for our camps with our two different scholarship programs: the Shelby Jean Scholarship and the MJ Graves Scholarship. One scholarship application per family, please!
The Shelby Jean Scholarships are awarded to families that need financial assistance providing the camp experience for their children. Please click HERE for the application.
The MJ Graves Scholarship is a scholarship awarded to a camper interested in attending a video game/coding themed camp. Please click HERE for the application.
All applications are due by March 1 and the recipients will be notified via email by April 1.
What are the age groups for your camps?
Our current camp offerings are designed for three different age groups of campers:
- Camps for children going into PreK4 & Kindergarten
- Camps for children going into 1st-3rd grades
- Camps for children going into 4th-7th grades
Our age groups are done by “rising grades”, so this means you will select the camp age group based on the grade your child is entering next fall. Please note that children entering PK3 in the fall are not eligible to attend, as our PreK & Kindergarten camps are designed for 4 and 5 year olds (must be 4 before their week of summer camp, and must be completely potty trained).
Club SciKidz carefully considers the grade range for each course as we receive feedback from our instructors, parents, and campers. Our policy is to keep campers in their grade-level appropriate camps.
Example: If you see a camp for grades 1-3 and your child is currently in second grade and will be a third grader in the fall, you can register your child for that camp.
Can you make an exception to your age requirements?
Since we have taken into account many considerations in matching our age groups and camp themes, it is generally best for the child to adhere to those requirements. Please remember that an age group contains not only a certain intellectual and skill set, but also a certain level of social maturity. These requirements allow Club SciKidz to meet the needs of each camper. We generally do not recommend bumping your child up to the next age group if they are not old enough. For example, a rising 3rd grader may be very advanced at coding; but may struggle socially/emotionally if placed in a 4th-7th grade level coding camp.
Campers must be at least 4 years old on the start date of their camp (or enrolled in a PreK4 age class for the upcoming school year). Campers who are entering PreK3 are not eligible. All campers must be completely potty trained as our staff cannot assist in the restrooms.
If you do decide to bump your child up an age group, please be aware of our refund policy. Transferring after the week of camp has started, to a different camp due to age appropriateness or skill level, must take place within that same week of camp and is contingent on availability in the newly desired camp. We will do our best to accommodate these situations but we may have limited options when all camps are sold out. There is also a $10 transfer fee for all camp transfers.
What are the hours of the camp?
The camp hours are from 9:00am to 4:00pm. You may drop off your child no earlier than 9:00am and pickup no later than 4:00pm unless you have paid for the Pre or Post camp care.
Half-Day campers are to be picked up at 1:00pm as there is no Post camp services available for them. The half day option is only available for PreK & Kindergarten camps.
Do you provide Pre and Post camp services?
We have extended care services at all of our locations. The cost is $30.00 per week for Pre Camp care, which starts at 8:00 am. Post Camp care runs from 4:00pm – 5:30 pm and costs $45.00 dollars per week. Campers that are picked up later than 5:30 pm will incur additional charges at the rate of $1.00 per minute. Please do not drop your child off before 8am, we are not staffed to care for campers earlier than 8am.
In a pinch, you can pay the daily rate (divide weekly rate by 5) that morning if you just need services for that day. All parents should make sure they record the Director’s phone extension # in case they need to communicate with the camp site.

If they are already going to school, or going to school in the fall, we highly recommend the full day camp. Most campers in this age group opt for Full Day camp. If you register for Half Day, and you desire to switch to Full Day once the camp week has started, please let the director know. We can pro-rate the remaining days.
Are there outside activities?
Campers do have an outdoor recess period for 30 minutes each day. Other camps may do specific lessons outside at the counselors’ discretion.
